Asking questions

Where to ask, what a good answer looks like, and what the system will not do.

Where to ask

Ask in the Project (Claude, ChatGPT) or Space (Perplexity) you set up in step 5. Not in a general chat. A general chat has not been given your documents or the rules, and it will answer from whatever it knows about the world.

How to ask

Ask the way you would ask a colleague.

  • “What’s our current warranty on residential installs?”
  • “What do we need from a self-employed borrower?”
  • “Who handles safety incidents, and what’s their number?”

You do not need to know which document holds the answer, or what it is called.

What a good answer looks like

A good answer does three things:

  • it answers the question
  • it names the document it used
  • it comes from the current version

If an answer does not name a document, ask: “Which document is that from?” If it cannot say, do not rely on the answer.

When it says it does not know

That is the system working. If none of your documents cover the question, and it is not one of your business details, the AI is told to say so rather than guess.

To fix it, upload the document that answers the question, or fill in the missing business detail.

What it will not do

HeyJanet finds your current documents and answers from them. That is the job.

  • It does not check documents for you. It will not review a contract for bad terms or tell you whether a price is right. It can tell you what your own document says, and you can compare.
  • It does not answer from documents you have not uploaded.
  • It does not read pictures. A photo or a scan gives it nothing.
  • It does not fill in forms or do calculations for you.

Say it plainly to your team: it knows what your documents say. It does not know more than they do.
