A written statement of how an insurer collects, uses, shares, stores, and protects personal and health information about applicants, policyholders, and claimants.

What it usually contains

  • categories of personal, financial, and health data collected
  • permitted uses and disclosures to reinsurers, agents, vendors, and regulators
  • retention periods and secure disposal rules
  • individual rights to access, correct, or opt out of sharing
  • safeguards, breach notification steps, and contacts for privacy questions

What the assistant uses it for

Answering what customer data the company may collect and who it can be shared with, how long records are kept, and what rights a policyholder has over their information. Also used to show regulators and auditors that required privacy notices and consent practices are in place.

How it is versioned

A document of this type has exactly one current version at a time. Upload a revision and it becomes the version that counts — the one before it is kept and dated, but is no longer what your assistant answers from. Nothing is ever deleted, so you can always show what this document said on a given date.
