Referral Intake Workflow
A written procedure for how the front office receives, logs, and processes patient referrals from outside providers.
What it usually contains
- Steps for receiving referrals by fax, portal, phone, or e-referral
- Required information and documents before a referral is accepted
- Logging, tracking, and follow-up timelines for pending referrals
- Insurance verification and authorization checks
- Scheduling rules, triage or urgency levels, and rules for incomplete referrals or referring-provider callbacks
What the assistant uses it for
Answer questions about who handles an incoming referral, what paperwork must be present, and how quickly a patient should be contacted or scheduled. Also useful for resolving what to do with incomplete, urgent, or out-of-network referrals.
How it is versioned
A document of this type has exactly one current version at a time. Upload a revision and it becomes the version that counts — the one before it is kept and dated, but is no longer what your assistant answers from. Nothing is ever deleted, so you can always show what this document said on a given date.

On one AI system
Everything your company knows.
One version that counts.
You already own the documents. We make them the only thing your AI is allowed to answer from, and we keep them current — so nobody quotes last year’s price by accident again.
