Standard operating procedures

A step-by-step written guide for how a specific finance task is carried out, who does each step, and in what order.

What it usually contains

  • Purpose and scope of the process
  • Numbered steps with the role responsible for each
  • Approval limits and sign-off points
  • Required forms, records, and where they are filed
  • Exception handling and escalation contacts
  • Review date and version history

What the assistant uses it for

Answering how a routine finance task should be done, such as closing the books, processing payments, or reconciling accounts, and who must approve each stage. Also useful for confirming required documentation, approval thresholds, and what to do when something falls outside the normal process.

How it is versioned

A document of this type has exactly one current version at a time. Upload a revision and it becomes the version that counts — the one before it is kept and dated, but is no longer what your assistant answers from. Nothing is ever deleted, so you can always show what this document said on a given date.

On one AI system

Everything your company knows.
One version that counts.

You already own the documents. We make them the only thing your AI is allowed to answer from, and we keep them current — so nobody quotes last year’s price by accident again.
